| Description: | The Special Events Intern is an integral member of the Special Events team, and s/he must be able to perform in a fast-paced, demanding events program. Primarily responsible for assisting the Special Events Manager and Special Events Associate in the planning and execution of all special events, the intern is also responsible for providing general assistance to the Development Department, on an as-needed basis. Responsibilities: As a member of the Development Department, the Special Events Intern position includes the following duties: General Special Event Logistics Assists with all special event logistics, with a focus on: * Coordination and execution of promotional mailings * Updating guest registration, seating information and related data entry * Follow-up outreach (via phone, email, fax, etc.) to elected officials and honorary committee members * Research and booking of VIP and Major Donor travel * Assembly and distribution of event materials * Work to secure silent auction and raffle items * Work with the Special Events Manager to increase student attendance at events Event Fundraising, Registration and Seating * Assist with fundraising calls and follow up * Tracking of responses to event promotional mailings (pre-sale, Host, Honorary, invitation) * Logging and copying of all event checks for event records Coordination and Reporting Assists the Special Events Assistant with all Special Events reporting, with a focus on: * Event financial reports * Event chair updates Administrative * Record maintenance * Briefing book assembly to provide an archive for the event * Expense and vendor reimbursements * Check event voicemails, return informational calls (as needed) * Provide assistance to the department, as necessary, with processing of gift acknowledgements and other administrative tasks Department Relations Observes and participates in the teamwork necessary for all components of a successful national development program by attending Development Department Meetings, Special Events meetings, and assisting with department-wide projects as necessary. Qualifications: * College degree or enrollment in a degree program; * Strong attention to detail required; * General office experience helpful; * Exposure to special events desired; * Strong computer skills using Microsoft Excel, Word, Outlook and database software. |
