| Description: | The Development Services Associate is responsible for processing and tracking all incoming revenue, maintaining both the database records and hard files of individual donors including biographical and gift information, and preparing gift acknowledgment correspondence. In addition, the Development Services Associate works closely with the Assistant Director of Development Operations and Systems Management to support all development systems. Responsibilities: -Strategically leads the processing of online gifts via the Web Services functionality which requires manual approval and oversight; making sure that Major Donors gifts are removed from the Membership database and entered in the Major Donor database. -Serves as our departmental liaison with ROI in all aspects the regarding web gift data flow between Convio and ROI. -Conducts all necessary data pulls for Development's Direct Marketing Consultants, Chapman Cubine Adams + Hussey upon request -Coordinates with the front desk to track and account for all incoming revenue. -Processes membership, event, major donor, planned giving, and grant checks on daily cash receipts. -Processes event, membership, and major donor credit card donations on daily cash receipts. -Enters and tracks event, major donor, planned giving, and grant revenue in revenue sheets. -Enters and tracks daily membership revenue from DMP and PSI. -Processes and tracks major donor Telemarketing Campaign pledges from TM firms. -Manages and distributes revenue sheets. -Assist Assistant Director of Development Operations and Systems Management with data conversion project as requested. -Identifies event, major donor, and grant problem checks and resolves these donations in a timely fashion via donor correspondence. -Distributes daily cash receipts and works with membership, events, major gifts, planned giving, and grants to ensure accurate data entry. -Enters all major gifts, events, planned giving, and grants donations and biographical information in database, including updating existing records and creating new records. -Prepares membership deposits and sends to DMP for processing. -Identifies and flags event and major gift donations to receive special acknowledgements. -Pulls major donor and event acknowledgement files from database and prepares major donor and event acknowledgement letters on a routine basis. -Responsible for Special Acknowledgement files, including donations over $10,000 and all Board donations; ensures they receive special notes from Director of Development. -Keeps detailed records of cash receipts, revenue sheets, problem checks, donor correspondence, upgrades, and credit card processing. -Tracks Major Donors Newsletter sign-up in Raiser's Edge and Convio. -Tracks membership upgrades, including entering new donor information in the database. -Pulls JBS Welcome letters from database and prepares new JBS donor packets on a monthly basis. -Responsible for pulling JBS PAC donations for FEC reporting. -Works in coordination with Assistant Director of Development, Membership to act as a back-up to performing best effort calls for FEC reporting. -Responsible for keying membership PAC street mail donations into ROI. -Takes a lead role in JBS in-house mailings. -Performs yearly major gifts donations data pulls for Auditors. -Performs Grants data pull and create Foundation reports upon request. -Serves as the primary contact person for SmtihBarney for all stock contributions. -Works with NARAL Pro-Choice California to process, track, and reconcile major gift donations, membership street mail, and event donations for NARAL Pro-Choice California. -Works with NARAL Pro-Choice California to process, track, and reconcile donations for NARAL Pro-Choice America's San Francisco and Peninsula events. -Processes NARAL Pro-Choice California membership checks and credit cards -Enters all NARAL Pro-Choice California revenue in the department Revenue sheet -Sends year-end acknowledgements to membership donors who give to the Foundation through workplace giving and matching gift programs. -Tracks and files America's Charities and CFC pay stubs, and enters monthly revenue from Finance into Revenue sheet. -Conducts all necessary data pulls for the development team upon request. -Oversees the acknowledgment process in conjunction with key Staff. -Oversees and conduct data hygiene in regards to campaign files, membership campaigns, Event clean up and major gift mailings. -In conjunction with the Assistant Director of Development Operations and Systems Management, ensures the California office follows gift processing and acknowledgment procedures, and ensures their data is well-integrated and streamlined into the overall department. -Works closely with the Assistant Director of Development Operations and Systems Management to ensure accuracy of data entry, acknowledgment pulls, and other record keeping in database. -Attends bi-weekly Development Department meetings. -Works in coordination with Major Gifts and Special Events Intern to perform routine major donor and event filing. -Works with members of the Development Department on special projects and other duties, as assigned. -Acts as a back-up to the receptionist on an as-needed basis. Qualifications: -Strong analytical skills and ability to learn new database programs. -Bachelor's degree and 2-4 years experience, or equivalent combination of education and experience, in database administration in a non-profit environment -A minimum of 2 years experience with The Raiser's Edge; familiarity with Convio a plus. -Must be extremely detail oriented and have above-average organizational, follow-through and prioritizing skills. -Demonstrated track record of exceptional time management and organization; ability to use creative problem solving skills to manage multiple complex tasks -Proficiency with Microsoft Office products such as Word, Excel and PowerPoint. -Strong written and verbal communications skills, professional demeanor. -Works well individually and as part of a team. -Knowledge of diverse groups, working with a multicultural workforce and sensitivity to and appreciation of cultural differences is required. -Clear understanding of and commitment to NARAL Pro-Choice America's mission and goals.
