| Description: | Title: Project Business Administrator Location: Colorado Springs, CO Status: Full Time The Project Business Administrator manages a variety of general office activities by performing the following duties personally, or through subordinate personnel as defined by timelines in the Corporate Operations Calendar. ESSENTIAL DUTIES AND RESPONSIBILITIES include the following but are not limited to. Greets and directs visitors to appropriate personnel; answers, screens and directs all incoming calls; reads and routes incoming distribution; makes copies of correspondence or other printed materials; prepares outgoing distribution, including e-mail and faxes; maintains distribution systems between clients, subcontractors, vendors, and corporate entities; and prepares and distributes weekly corporate distribution package in accordance with corporate procedures. Collects and forwards all new hire paperwork to corporate human resources; completes I-9 forms within legal timelines; assists human resources in obtaining required and requested employee forms, including Payroll/Status Change forms; and ensures all compliance HR posters are posted properly and not expired Prepares subcontract/subcontract adjustment packages for subcontractor signature in accordance with corporate procedure; ensures all required documentation for subcontractors and tiered subcontractors is maintained in file; distributes signed subcontracts / subcontractor adjustments for file copy and subcontractor copy; ensures all subcontractor and/or vendor informational requirements are kept current and accurate. Reviews subcontractor and tiered subcontractors certified payroll data such as employee information, hours worked, taxes, insurance computation and fringes to ensure contract compliance with the Davis-Bacon Wage Act and the prevailing wage rate. Reviews wages computed and reports errors back to subcontractor(s). Plans, directs, and coordinates activities to ensure that goals or objectives of project reporting and analysis are accomplished within the timelines defined in the Corporate Operations Calendar or under the directive of the Corporate Controller. Interfaces with team members to explain, challenge, and analyze project schedules, costs, and status reports prepared by project personnel; compile and prepare project analysis and communicates the corrective actions for management and corporate staff. PREFERRED QUALIFICATIONS EDUCATION and/or EXPERIENCE Associate's degree (A. A.) or equivalent from two- year college or technical school in an administrative or accounting related field; or six months to one year related experience and/or training; or equivalent combination of education and experience. Intermediate computer skills and an advanced knowledge of Microsoft Office products required. Construction industry and accounting experience is highly desired. Experience dealing with Government contracting regulations and clauses is also highly desired. Experience working with Spectrum and Wide Area Work Flow is also desired. LANGUAGE SKILLS Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals; ability to write routine reports and correspondence required; and the ability to speak effectively before groups of customers or employees of the organization preferred. OTHER QUALIFICATIONS The individual is required drive in the course of their work; a valid driver's license is required. The individual must meet all background and security requirements necessary to access and/or work on government installations.
